Resume Format PDF: Fixed Layout, Fully Readable

PDF is the safest resume format for most applications because the layout stays exactly as you designed it. Make sure it's a text-based PDF (not a scanned image), single-column, with standard headings, and named Firstname_Lastname_Resume.pdf.

PDF resume checklist

Check these before you hit upload.

Most PDF problems are invisible until an ATS or recruiter's phone opens the file.

Resume format PDF: export and quality checks

A4 | One column | 10.5-12 pt body text | Under 1 MB

Text-based, not an image: Open the PDF and try selecting a line of text. If you can't, the ATS can't read it either. Export from a builder or word processor; never scan or photograph a printout.

Single column with standard headings: Summary, Skills, Experience, Projects, Education, Certifications. Multi-column designs can be read in the wrong order.

Embedded fonts and real links: Use common fonts and make email, LinkedIn and portfolio links clickable.

Size and length: Keep the file under about 1 MB. One page for freshers, two pages for experienced candidates.

File name: Firstname_Lastname_Resume.pdf, or include the role, for example Priya_Nair_Operations_Resume.pdf.

Final check: Open it on your phone and in a browser to confirm nothing shifted or got cut off.

Why PDF works

Built for scanners, humans and hiring intent.

  • Layout never shifts

PDF looks the same on every device, unlike Word, which can reflow on different software.

  • ATS-readable when text-based

Modern ATS read text PDFs well. Scanned or image PDFs fail.

  • Professional by default

Recruiters can't accidentally edit it, and it prints exactly as designed.

  • Small and fast

A text PDF is usually well under 1 MB, so it uploads and emails easily.

Examples

Copy the structure, not the wording.

These examples show shape and specificity. Add your own facts, metrics, tools and outcomes.

Use PDF when

  • The job post doesn't specify a format
  • Emailing a hiring manager directly
  • Uploading to Naukri, LinkedIn or company portals
  • Your design uses careful spacing
  • Sharing a resume link or QR code

Use Word when

  • The job post asks for .doc or .docx
  • A consultancy will edit your resume before sharing
  • An older ATS explicitly rejects PDF
  • A recruiter asks for an editable copy
  • You need to fill a company's Word template

Common PDF mistakes

  • Scanning a printed resume into PDF
  • Two-column layouts with text boxes
  • Images or icons for contact details
  • Huge file sizes from embedded photos
  • Generic file names like resume_final_v3.pdf

Actionable tips

Small edits that lift response rates.

Run through these before every application.

  1. 1Export, don't print to imageUse 'Save as PDF' or a builder's PDF download so the text stays selectable.
  2. 2Test with copy-pasteCopy all text from your PDF into a notepad. If the order is jumbled, an ATS will see it that way too.
  3. 3Keep a Word version tooSome employers and agencies ask for Word. Keep both versions identical in content.
  4. 4Avoid password protectionLocked PDFs can't be parsed by ATS and frustrate recruiters.
  5. 5Download from BrainUpBrainUp exports ATS-friendly text PDFs and Word files from the same resume for free.

FAQ

Common questions, direct answers.

Is PDF the best format for a resume?

For most applications, yes. A text-based PDF keeps your layout fixed and is read well by modern ATS. Send Word only when the employer asks for it.

Can ATS read PDF resumes?

Yes, if the PDF is text-based with a simple layout. Scanned or image-based PDFs, and complex multi-column designs, often parse poorly.

How do I make my resume a PDF?

Use a resume builder's PDF download or 'Save as PDF' in Word or Google Docs. Avoid scanning a printed copy.

What should I name my resume PDF?

Use Firstname_Lastname_Resume.pdf, optionally adding the role, so recruiters can find it easily.

How big should a resume PDF be?

Ideally under 1 MB. Large files usually come from images and can fail on upload limits.

Should freshers use a PDF resume?

Yes. A one-page, text-based PDF is ideal for campus portals, job sites and email applications.
